We are seeking a Service Associate to play a pivotal role in ensuring that our client transactions and administrative processes are handled with precision and in compliance with industry regulations. In this position, you will collaborate closely with our financial planners, advisors, and operations team to deliver an exceptional customer experience.
What You'll Get to Do:
Assist with onboarding clients engaging with our services and products. This includes verifying the accuracy of client documentation, ensuring compliance with regulatory requirements, and facilitating account setups.
Oversee and process transactions related to mutual funds, segregated funds, guaranteed investment products, group savings and pension plans, and insurance policies. This includes executing trades, processing premiums, managing policy renewals, and handling fund redemptions or transfers.
Maintain accurate records of all transactions, client communications, and compliance documentation using our CRM platform, Salesforce, and other relevant software, ensuring easy access for audits, client inquiries, and regulatory reviews.
Prepare detailed proposals and illustrations for group benefit plans, retirement plans, individual insurances, and investments.
Provide excellent support to clients and financial advisors by addressing inquiries, resolving issues, and offering information about our services, while referring specific inquiries to advisors as appropriate.
Support advisors’ time management by scheduling appointments, crafting client communications, preparing files, tracking tasks, and summarizing meetings.
Ensure all activities adhere to industry regulations and legal requirements, staying updated on relevant laws and guidelines to implement them within the firm's processes.

Mutual Fund License is an asset.
Canadian Securities License is an asset.
Life and Accident & Sickness Insurance license is an asset.
Familiarity with Sun Life proprietary software is an asset.
Knowledge of NaviPlan and/or Conquest Planning is an asset.
Experience with CRM software, particularly Salesforce is an asset.
Who We’re Looking For:
A minimum of 3 years of professional customer service experience in a similar role.
A minimum of 1 year of group benefits and savings experience.
Proficient in regulatory requirements and compliance standards.
Exceptional written communication skills, with the ability to convey information clearly and professionally in both written and verbal formats.
Excellent notetaking and copywriting skills, with a strong ability to identify key items and align with end goals.
Ability to effectively prioritize competing requests.
Ability to work both independently and as part of a highly functioning team.
A proactive thinker and problem-solver with a service-oriented attitude.
Willingness to learn and develop new skills.
Demonstrated high typing accuracy and speed, along with strong computer literacy and proficiency in the Microsoft Office Suite.
Exemplifies punctuality and demonstrates reliable attendance, consistently showing commitment to responsibilities and contributing to a productive work environment.

Cash Compensation Range (CAD):
$45,000 to $55,000
The base compensation for this position will vary based on job-related criteria, including relevant skills, experience, licensing, and professional industry accreditation. In addition to the base salary, eligible roles may include on-target commissions, bonuses, and/or overtime pay.
Job Type: Full-time, Permanent
Availability during business hours (8:30 AM to 4:30 PM EDT) for a 37.5-hour work week (Monday to Friday).
Hybrid Work:
Hybrid work is optional.
New hires are required to be in the office for the first six months, where you will receive comprehensive training and gain a solid understanding of our office procedures and workflows. This initial time in the office will support your growth and help you build essential connections with your team.
