Senior Administrator

We are seeking a skilled and experienced Senior Administrator to join our team and take a leadership role in supporting our advisors and clients. Key Responsibilities
Client Onboarding & Relationship Management: Oversee the onboarding process for new clients, ensuring accounts are set up accurately, documentation is complete, and compliance standards are met. Act as a trusted point of contact for complex client inquiries.
Transaction Oversight: Manage and execute transactions across mutual funds, group savings, insurance policies, and pension plans. Supervise and review trades, renewals, and transfers to ensure accuracy and regulatory compliance.
File Preparation & Documentation: Lead the preparation and organization of key client files, ensuring all documentation is complete, compliant, and audit-ready.
Meeting Notes & Advisor Support: Attend client meetings with advisors, take detailed notes, summarize key discussion points, and follow up on action items. Provide insights and recommendations to improve meeting efficiency and outcomes.
Investment Analysis & Proposal Construction: Work closely with advisors to analyze client investment portfolios, construct detailed proposals, and develop financial strategies aligned with client goals.
Tax Analysis & Calculations: Assist in preparing tax-related analyses, calculations, and reconciliations to support clients’ financial planning and investment decisions.
Complex Reconciliations & Reporting: Perform complex reconciliations, prepare summary charts, and create comprehensive reports to support advisors and provide clients with clear insights.
Operational Leadership: Streamline administrative processes, implement best practices, and ensure adherence to internal policies and industry regulations. Identify opportunities for efficiency and continuous improvement.
Team Mentorship & Development: Support junior team members by providing guidance, coaching, and mentoring to strengthen the team’s skills and knowledge.
Digital Tools & Systems Management: Maintain accurate records using our CRM platform (Salesforce) and other digital tools. Ensure data integrity, timely follow-ups, and compliance with internal and regulatory requirements.
Strategic Contribution: Collaborate with advisors and management to design and implement solutions that enhance client experience and operational effectiveness.
What Makes You a Fit
Experienced Professional: You bring at least 3 - 5 years of experience in financial services or a similar professional environment, with strong knowledge of accumulation vehicles, decumulation vehicles, group benefits, group retirement, investments, and client administration.
Organized & Methodical: You manage complex workloads with precision and structure, ensuring tasks, files, and deadlines are consistently met.
Client-Focused: You understand the importance of discretion, accuracy, and responsiveness in managing high-value client relationships.
Technically Proficient: Skilled in CRM platforms (Salesforce) and Microsoft Office, with the ability to quickly learn new systems and tools.
Detail-Oriented: You maintain exceptional accuracy in documentation, transactions, and communications.
Collaborative Leader: You work effectively with advisors and team members, fostering a culture of support, mentorship, and high performance.
Professional Credentials & Technical Skills
CSC or IFIC (required)
LLQP (required or in progress; candidates must commit to completing the designation within an agreed timeframe)

Full-time, Permanent.
Availability during business hours (8:30 AM to 4:30 PM EDT) for a 37.5-hour work week (Monday to Friday).

Hybrid work is available after an initial onboarding period. All new hires spend the first six months in the office, receiving comprehensive training and gaining a deep understanding of our processes and workflows.
